By registering, accepting a crew assignment, or participating as a volunteer or crew member, you acknowledge that you have read, understood and agree to these Terms and Conditions.
1. Volunteer participation
Participation is voluntary and does not create an employment relationship with Life Community. Volunteers are not entitled to salary, employee benefits or remuneration unless expressly communicated. Registration information must be accurate and complete, and important changes must be reported to the Event Organising Team.
2. Crew assignment and deployment
Volunteers may be assigned or reassigned to roles, locations, stations or duties based on operational and safety requirements. Carry out assigned duties responsibly and seek guidance whenever your role or responsibilities are unclear.
3. Attendance and reporting
Report to your designated location at the assigned time and follow the communicated check-in procedure. If you cannot attend, expect to be late, or need to leave early, inform your Crew Lead or the Event Organising Team as soon as reasonably possible.
4. Instructions and event operations
Follow reasonable instructions from the Event Organising Team, Crew Leads, Safety personnel and authorised officials. Use reasonable judgement and initiative to support safe, smooth operations. Check with your Crew Lead when an instruction significantly changes your role or you are unsure what to do.
For an immediate safety concern, take reasonable action to assist and promptly alert the appropriate Crew Lead, Safety personnel or Event Organising Team.
5. Safety and wellbeing
Safety is everyone's responsibility. Volunteers should:
- attend or review required role briefings;
- follow safety instructions and Event procedures;
- remain alert to hazards and unsafe conditions;
- promptly report accidents, injuries, hazards, missing persons, medical situations and other safety concerns;
- avoid specialised duties for which they have not been trained or briefed;
- take reasonable care of themselves, participants, fellow volunteers and the public; and
- inform their Crew Lead if they feel unwell or cannot safely continue.
For an immediate threat to life or safety, obtain appropriate emergency assistance and inform Event Safety personnel. An RFL Crew incident report must not delay urgent assistance.
6. Incident reporting
RFL Crew may be used to record operational issues, incidents, hazards and safety matters. Reports must be accurate, factual and relevant, without speculation, assumptions or unnecessary personal information. Serious or urgent incidents must also be escalated immediately to the appropriate people.
7. Use of RFL Crew
Access is provided only for authorised Run for Life duties. You must:
- keep your account and login credentials secure;
- not share your account or allow another person to use it;
- access only information reasonably required for your duties;
- not attempt to access restricted areas or information;
- enter information accurately to the best of your knowledge;
- promptly report suspected unauthorised access; and
- secure your access when using a shared device.
Access may be changed, suspended or removed for security or operational reasons.
8. Confidentiality and personal data
You may encounter confidential information or personal data about participants, beneficiaries, donors, volunteers, staff, partners or others. Use it only where required for your duties, keep it secure, and do not disclose it to unauthorised persons.
Do not copy, download, photograph, screenshot, forward or retain such information unless required and authorised. Do not use it for personal, commercial or unrelated purposes. Report suspected loss, disclosure or misuse promptly, and delete or return information when requested. These obligations continue after your duties end.
9. Photography, video and social media
Run For Life is a public event and recordings may be taken. Images in which you appear may be used by Life Community for Event documentation, communications, publicity and promotion, subject to applicable requirements.
Do not record or share confidential information, personal data, incident reports or sensitive situations. Do not photograph or publish beneficiaries or people requiring additional privacy protection without authorisation, and do not present yourself as an official spokesperson unless authorised.
10. Conduct
While representing Run For Life and Life Community, you must:
- treat participants, the public, staff and volunteers with respect;
- behave responsibly and appropriately;
- avoid discriminatory, abusive, threatening, harassing or inappropriate behaviour;
- not misuse your position, access or authority;
- avoid unnecessarily endangering others or disrupting operations; and
- cooperate with reasonable Event policies and instructions.
11. Event equipment and property
Passes, identification, vests, radios, devices, signage, keys and other supplied materials remain the property of Life Community or their respective owner. Use them responsibly for their intended purpose, return them when requested, and promptly report loss or damage.
12. Health and ability to volunteer
Consider whether you can safely perform your assigned duties. Tell your Crew Lead or the Event Organising Team about any relevant limitation so an appropriate assignment can be considered where reasonably possible. Report illness or injury as soon as possible.
13. Assumption of risk
Event environments involve ordinary risks associated with outdoor activities, crowds, weather, movement and assigned duties. Exercise reasonable care and follow all safety instructions.
To the extent permitted by law, Life Community, its officers, employees, volunteers, partners and authorised representatives are not responsible for loss of or damage to personal belongings arising from volunteering. Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited under Singapore law.
14. Withdrawal or removal from duty
If you cannot continue volunteering, inform your Crew Lead or the Event Organising Team as soon as reasonably possible. Life Community may reassign, suspend or remove a volunteer where reasonably necessary, including for safety or wellbeing concerns; repeated failure to follow instructions; inappropriate conduct; unauthorised disclosure; misuse of RFL Crew or Event resources; or conduct that may adversely affect people, Life Community or the Event.
Removal or reassignment may be immediate where safety or operational concerns exist.
15. Collection and use of volunteer information
Life Community may collect, use or disclose volunteer information for registration and identification; scheduling and deployment; communications; attendance and check-in; emergency, safety and incident management; RFL Crew administration; volunteer engagement and recognition; and legal or regulatory compliance.
Personal data is handled in accordance with Singapore data protection requirements and Life Community's Privacy Policy.
16. Event changes
Life Community may modify Event arrangements, assignments, schedules, locations, procedures or operations where reasonably necessary because of weather, safety, operational or regulatory requirements, or circumstances beyond its reasonable control. Refer to official Run For Life channels and RFL Crew for the latest instructions.
17. Changes to these terms
Life Community may update these Terms and Conditions where reasonably necessary. The latest version will be available through the Run For Life website or RFL Crew.
18. Governing law
These Terms and Conditions are governed by the laws of the Republic of Singapore. Matters not specifically covered will be considered by Life Community with regard to Event requirements, safety and applicable laws and regulations.
